October 2026For a head of school or an administrator reviewing how a term is run.
How a Ghanaian school year is actually shaped
Most school software assumes a calendar. A Ghanaian basic school has its own, and a college has a different one again. This is the shape the product has to be able to state before it can hold anything else.
Three terms, one year
A basic school in Ghana runs three terms across a year, with the year itself named for the academic session rather than the calendar year. A senior high school or a college may run two semesters instead. Neither is a detail a product can afford to assume: the number of terms decides how many times results are published, and a school that publishes three times a year is running a different process from one that publishes twice.
The year, then, is the first thing a system has to hold. Everything else, classes, subjects, placements, assessments and results, is defined relative to it.
Classes and subjects are separate things
A class is a group of students who are taught together: JSS 1A, for example. A subject is what is taught: Mathematics, English Language, Basic Science. The pair is what a teacher is assigned to and what an assessment belongs to, and the pair is what changes when a school restructures.
Keeping them separate is what allows a school to rename a class without touching a mark, or to offer the same subject to two year groups with different grading policies.
- A class belongs to a year, not to the school forever.
- A subject belongs to a year, so a new subject does not silently appear in a past term.
- A teacher is assigned to a class and a subject together, which is what scopes what they can see.
Marks live under a policy
A mark is not a result. A mark is a number recorded for a student in a subject for one assessment: a class test, for instance. A result is what happens when the marks and a policy meet, and the policy is the part that varies most between schools.
A school states its categories, their weights, the precision a mark is reported at and the rounding it applies. Once that is stated, the arithmetic of a term is settled, and a result can be recomputed later and still agree.
Why the shape matters more than the screens
A school office does not need another place to type marks. It needs the year, the people and the policy to be recorded once, in a way that survives a change of staff. That is why Ashee SMS starts from the academic year rather than from a form: the shape is the product, and the screens follow from it.
